POSH compliance is a workflow, not a poster

Most companies treat POSH as a policy document on the wall. The law is really about what happens in the days after a complaint — and that's a process problem software is built to solve.
Ask an HR head whether their company is POSH-compliant and you'll usually hear "yes — we have the policy." But India's Prevention of Sexual Harassment (POSH) Act isn't satisfied by a policy on the noticeboard. It's satisfied by what your organisation actually does in the days and weeks after someone raises a concern. Compliance lives in the workflow, not the poster.
That distinction matters, because the workflow is where most organisations quietly fall short — not out of bad intent, but because a sensitive, time-bound, confidential process is genuinely hard to run by memory and email.
What the process actually demands
Under the Act, an organisation of any real size must have an Internal Committee and must handle a complaint with a set of properties that are difficult to guarantee informally:
- Confidentiality, enforced. Details must be seen only by the people entitled to see them. "Please keep this quiet" is not access control.
- Strict timelines. Inquiries are time-bound. Miss a deadline and you're non-compliant regardless of the outcome.
- A complete, tamper-evident record. Who did what, when — from the first report to the final decision.
- A safe way to come forward. People won't report if the only route is walking into an office.
- An annual return. The numbers have to be compiled and filed, accurately.
Run that on shared inboxes and spreadsheets and the failure modes are obvious: a mail forwarded to the wrong person, a deadline nobody was tracking, a record that can't prove what happened.
Where software earns its place
This is exactly the kind of problem case-management software exists to solve — not to replace the committee's judgement, but to make the process reliable around it:
- Role-based access so confidentiality is structural, not a promise.
- Timelines with reminders so statutory clocks don't get missed.
- An immutable audit trail that can stand up to scrutiny later.
- Intake that protects the person reporting, including anonymous or restricted-visibility options.
- Annual-report generation from the real case data, not a year-end scramble.
Done well, it doesn't make the topic less human — it removes the administrative failures that compound an already difficult situation, and lets the committee focus on doing right by people.

If your POSH readiness is a document, you have the easy 10% and none of the hard 90%. The real test is a live complaint handled confidentially, on time, and on the record. That's a process — and processes are what software makes dependable.
